Terms and Conditions of Business

Reservation Procedure

The procedure for making a reservation is as follows:

  • We receive your request.
  • We inform you of the cost of the requested services.
  • You confirm that you wish to reserve the offered services.
  • We make firm bookings for all the requested services and as soon as your bookings file is complete we send you our final confirmation, which will also include the payment plan and method applied to your booking.

Payment Terms & Conditions

Payment is possible in one of the following ways:
a. We will direct you to our secure Web Pages and the payment process will be concluded online, or
b. We will send to you (by e-mail or fax) an authorization document, which you will be asked to fill in with your credit card details and
sign. You then send us back (by fax) the signed authorization document, or
c. We will send you (by e-mail or fax) our bank account details so that can you wire your payment(s) through your bank.

When Aegean Thesaurus Travel receives the total amount payable you will then receive all the travel documents for the paid services (hotel & transfer vouchers, airline & ferry, tickets, and all other service vouchers related to your itinerary), to be specified in the email confirmation you will be receiving from one our Travel Consultants.

  • Reservations made with Aegean Thesaurus Travel require prepayment in full of all confirmed reservations and services. Rates quoted always include taxes.
  • Reservations made 31 days (or more) prior to their commencement date, a prepayment of 30% of the total cost is required within two days of our confirmation.
  • The outstanding balance is payable 30 days prior to the commencement of services.
  • The 100% of the total cost is prepaid, within two days of our confirmation, in the following cases:
    • When a reservation is made 30 or less days prior to the commencement of services.
    • When the reservations and services do not include accommodation bookings.
    • For accommodation reservations only, which are for a duration of 5 nights or less.
    • When the total cost of the reservation and/or services is 600 Euros or less.
  • Some hotels and other services require full payment 60 days before the client's arrival. For such exceptional cases we will inform you accordingly in advance.
  • Credit cards accepted: VISA, MasterCard and American Express.
  • Purchasers must be 18 years or older.

The Aegean Thesaurus Online Payment System on the official World Wide Web secure domain address of "https://secure.hellasnet.gr/thesaurus" is certified for its encryption processes and security by "VeriSign".
The Aegean Thesaurus Online Payment System operates in conjunction with DeltaPAY on the official World Wide Web secure domain "https://www.deltapay.gr" DeltaPAY is certified for its encryption processes and security by "GeoTrust".

Cancellation Policy

The usual cancellation fees are as follows:

  • For Ferry tickets
    If cancelled after they have been issued, and until 24 hours prior to the scheduled departure, 50% cancellation fees apply.
    If cancelled within 24 hours of departure, or if ferry departure is missed, the amount paid is not refundable.
  • For Airline tickets
    Cancellation fees vary according to each airlines' cancellation policy.
    Ferry and Flight tickets are issued on the date that your full payment has been received.
  • For Accommodation and all other services, with notice received:
    • 25 (or more) days prior to the commencement of services:
      90% of the total amount confirmed is refundable.
    • between 24 to 8 days prior to the commencement of services:
      50% of the total amount paid is refundable.
    • 7 or less days prior to the commencement of services and Non-Show:
      the total amount paid is non-refundable.
  • All agency handling fees and expenses (if any were charged) are non-refundable.
  • Any refund due will be refunded through your credit card account, or to your bank account.

The above is the usual cancellation policy. However as we work in our clients' best interests, we will always endeavor to minimize or avoid cancellation fees when possible.

Please take under consideration that the above cancellation policy is dependent upon the rules, restrictions and cancellation policies of each property and service supplier, as these vary.

Reservation Amendment Policy

Amendment of confirmed reservation particulars is possible, always subject to availability and according to the rules, restrictions and cancellation policies of each property and service supplier, as these vary. An amendment requested in less than 25 days prior to the service date may not be amendable and the charges may not be refundable.

For each requested amendment which is subsequently confirmed after our FINAL confirmation, an amendment fee of 30 Euros will be applied in addition to any other charges that may be incurred.

A request for a service amendment received only by email or fax within 4 days and up to 48 hours before the confirmed service, is not sufficient because your request may not be processed by our office in time, due to office operation hours, weekends, holidays and local time differences. Therefore to make any amendment within 4 days and up to 48 hours before the confirmed service, this can be done ONLY by calling our office at telephone No. +30 22840 33151. If our office is closed an emergency telephone number will be provided by our answering service. If a service amendment is requested in less than 48 hours prior to the confirmed service, (only by telephone as above), please contact our office anyway, and we will be happy to discuss your options for alternative arrangements.

Accommodation Check-in, Check-out times

For almost all hotels in Greece the following check in and check out times are applicable:

Check-in time : 14:00 (2 pm)

Check-out time: 12:00 (noon)

Checking-in earlier, and/or checking out later than the above times may be possible, however that can only be known on the check-in and/or check-out dates and it depends on availability at the time. For earlier check-in or later check-out additional charges may apply.

Land Transfer Amendment Policy

The land transfers confirmed to you will be provided and charged based on the confirmed transfer details (flight No., or ferry name) specified on our vouchers and/or according to any additional correspondence up to 48 hours prior to the transfer time. If for any reason (flight changes, etc.) you cannot use the confirmed transfer service(s), the transfer charges are not refundable unless you notify our office in advance.

A notification for a transfer change received only by email or fax within 48 hours or less of the confirmed transfer time, is not sufficient because your notification may not be processed by our office in time, due to office operation hours, weekends, holidays and local time differences.

Therefore to make any change within 48 hours or up to 2 hours before the confirmed transfer time, this can be done ONLY by calling our office at telephone No. +30 22840 33151. If our office is closed an emergency telephone number will be provided by our answering service. If the change of transfer time is not known until within 2 hours of the previously confirmed time, this transfer is not amendable and the charges not refundable. In these circumstances, please contact our office anyway, and we will be happy to arrange an additional transfer at the new time if required.

Complaint Handling Policy

Any complaint or dispute that may arise from the booking of any hotel, tour, cruise, transportation, vehicle, package, flight and/or any related service must be reported to Aegean Thesaurus Travel at the time of the occurrence that gives rise to the cause of the complaint or dispute in order to attempt a resolution of the issue involved. If a complaint or dispute regarding a specific service is received after that service is completed, we will not be in a position to negotiate with the service provider any financial reimbursement on your behalf.

Overbooking Policy

Hotel categories are designated by the local government authority. In the extraordinary event of non-availability, due to overbooking or any other unforeseen circumstance, of a specified hotel, a substitute hotel of the same or higher category may be used.

Responsibility of Aegean Thesaurus Travel

Aegean Thesaurus Travel, hereinafter called the Tour Operator, and/or its representative's act only as agents between you and local hotel, cruise and transportation companies, land tour operators and any other related travel company associated with the booking made through the said Tour Operator. The responsibility of the Tour Operator and/or its representatives is limited.

The Tour Operator and/or its representatives will not accept any responsibility in the event of adverse weather conditions, strikes, damage, loss, accident, illness, delay or other irregularity. Likewise due to defects in any vehicle used for transportation, or the fault/default of any local hotel, cruise and transportation companies, land tour operator, or any other related travel company including their employees, associated with the booking made through the Tour Operator.

The Tour Operator and/or its representatives are not responsible for any passport, visa, consular, political, or military complications created voluntarily or involuntarily by the passenger or by any other person.

By booking any hotel, tour, cruise, transportation, vehicle, package, flight and/or any related service, you acknowledge that in any event, the Tour Operator shall not be liable for any consequential damages, and that the sole extent of the Tour Operator's liability shall never exceed the amount actually paid by the passenger.

The Tour Operator reserves the right to change or cancel any confirmed service, if necessary, due to force majeure conditions.

Airline tickets shall, when issued, constitute the sole contract between the passenger and the airline. The airline is not to be held responsible for any act, omission or event when the passenger is not on board its aircraft.

The Tour Operator is not responsible for technical, hardware, software, or telephone failures of any kind; lost or unavailable internet connections; or failed, incomplete, garbled, or delayed computer transmissions that may limit a participant's ability to finalize the payment process.

Passport & VISA Requirements

It is the responsibility of each traveller to ensure that they meet Passport validity and Visa requirements for entry into Greece. Passport and Visa requirements for the Greek State are subject to change, therefore information on any website may be outdated. The most reliable source of current information is a Greek Embassy/Consulate in your own country. For more information we strongly recommend that you check directly with the Greek Embassy/Consulate in your area before finalizing your travel arrangements. Aegean Thesaurus Travel can bear no responsibility if a client is refused entry to Greece due to incorrect documentation or due to any other regulation of the Greek Immigration Authorities.

Privacy Policy

Aegean Thesaurus Travel recognizes that your privacy and the protection of your personal information is important to you. This statement declares that we will protect your personal information while using our Web Site (www.thesaurus.gr), and while corresponding with us through email, fax or any other means.

Aegean Thesaurus Travel will not sell or rent your personal information to third parties.

Aegean Thesaurus Travel will not use or share your personal information in a manner that differs from what is described in this Privacy Statement without your prior consent.

Aegean Thesaurus Travel may disclose personal information if required to do so by law or in the good-faith belief that such action is necessary to:

(a) Conform to legal requirements or comply with legal process served on Aegean Thesaurus Travel; or
(b) Protect and defend the rights or property of Aegean Thesaurus Travel.
